Working with formats tutorial

Microsoft Word has two primary formats, and one secondary format that are used the most. The first primary format and most widely used is *.doc (*=filename). This document format is used in most versions of Word before Microsoft Office Word 2007/2008. The other primary format is *.docx. This document format is used mostly in Microsoft Office Word 2007/2008. The secondary format used in Microsoft Office Word is *.rtf. This Rich Text Format is used mainly for distributing a graphics and text document, especially over the web.

If you are having problems opening a format labeled *.docx, please note that it is a Microsoft Office Word 2007/2008 format. To be able to read it in earlier versions of Word, you will need the Microsoft Office 2007 Compatibility Pack. This can be found on the download site on Microsoft.com. The compatibility pack will allow you to read Microsoft Office 2007 formats in earlier Office programs.

If you have issues with this new format, it is suggested to automatically save with the old native format of *.doc

Running Microsoft Office XP in Windows Vista -- Windows Vista Tutorial

If you would like to install Microsoft Office XP on to Windows Vista, it is recommended to automatically set compatibility mode, so Microsoft Word can work well.

  •  To manage this easy task, please go in to your root drive (C:\ is typical, where your operating system is), and navigate to C:\Program Files\Microsoft Office\Office10.
  •  You will see WINWORD.exe listed near the bottom of the files. Right click on WINWORD.exe and click Properties.Then, click the Compatibility Tab.
  •  Place a check mark next to "Run this program in compatibility mode for:" then choose from the drop down option menu ["Windows XP (service Pack 2)"].
  •  Lastly, click Apply and then click OK.



Microsoft Office XP is now ready to work on Windows Vista.

Open earlier formats in to Word 2007

When opening a document in Word 2007, that was created in earlier versions of Word, Compatibility Mode turns on, which also shows Compatibility Mode in the title bar of the document window. Compatibility Mode disallows new features of Word 2007, so you can work properly.

How to convert an earlier format to Word 2007 format:

Click the Office Button, and then click Convert.
In the dialog box, click OK.

To replace the original file with a file in the Word 2007 format, click the Office button, and then click Save.
Click Save as instead, IF you want to keep the original (old) document, but still create a new document that has the Word 2007 format.

Exporting files to PDF in Word 2007


To export a Word document to a PDF, click File>(HIGHLIGHT) Save as>Click PDF or XPS. Choose the location, appropriate file name, Standard or Minimum optimization, and Save as type: [PDF (*.pdf)]. If you want to quickly save it, then click Publish.

Adding a keyboard shortcut to Word 2007


Click the home button and click the Word Options button. Click the Customize tab on the left. Down at the bottom of the window you will see Keyboard shortcuts: [Customize]<<<Click this button next to it. On the left of this window you will see categories, then on the right you will see commands. Click on a category, then on the right click a command that you want to customize. In the box just below the commands box, you will see "Press new shortcut key:" so press in the key that you desire and click Assign at the bottom left of the window. Then click close when you are done. You now have a new shortcut to use to enhance your experience with Word.

How to Customize the Microsoft Office Ribbon User Interface in Microsoft Office 2007

In this tutorial, I will explain what can be done to modify the Ribbon and also tell you what cannot be done to modify the Ribbon.

  • You can MINIMIZE THE RIBBON and click the arrow at the very top of the screen next to your small ow of icons, and at the bottom of the list click "Minimize the Ribbon." Keyboard shortcut for temporary hide: Ctrl+F1.
  • You can Show the quick access toobar below the Ribbon by using the same menu, and clicking "Show below the Ribbon."
  • You can also customize the buttons you see on the quick access toolbar by using the same menue, and clicking on which items you want to show. If you do not see what you want, then click the item "More commands" to get more options.
  • In addition, you can change the color of the Ribbon UI by clicking the Office button, then clicking [Program Name] Options. In the options, you can click on Popular, then click on the color scheme that you want. This option is global in all Office 2007 programs.
  • Lastly, you can add the developer tab by clicking the Office button, then clicking [Program Name] Options. In the options, you can click on Popular, then checkmark the box next to "Show developer tab in Ribbon."


You cannot do the following to the Ribbon:

  • Move/rearrange items.
  • Add/change commands
  • Add tabs.
  • Switch to menus from older Office versions.
  • You cannot increase the size of the buttons in the Ribbon or the quick access toolbar.
